A useful purchase enquiry gives the supplier enough information to propose a specification and lets you compare the resulting offer with your actual project. Use the following checklist before approving a custom cover.
Dimensions and fit
Label every measurement in mm, cm, m, feet or inches. Say whether the measurement is the object size or the required finished cover size. For a fitted cover include length, width, height, openings and attachment points. Confirm fit allowance and tolerances in writing.
Material and construction
Record the agreed fabric construction, colour reference, weight or thickness and finishing. Specify seams, reinforced edges, eyelets, straps and printing where required. Ask which performance reports apply to the quoted material; do not use colour alone to identify a tested sample.
Commercial terms
- Quantity and minimum order for this specification.
- Currency and price unit: piece, roll or square metre.
- Free samples and free sample shipping, with availability and dispatch arrangements confirmed.
- 30% advance payment and 70% balance before shipment.
- Production readiness, shipment arrangements and included charges.
- Agreed inspection, quality claims and change procedures.
Delivery responsibilities
Provide the country, delivery city or port and requested arrival date. Ask who arranges transport, customs clearance and final delivery. Check whether taxes, import charges and local handling are included in the quotation.
Changes and quality issues
Request changes or cancellation in writing as soon as possible. Feasibility and any costs depend on the production stage and must be agreed in writing. For a quality issue, keep your order reference, photos and details of the affected quantity; the agreed contract governs the handling of the claim.
Before paying
Check the legal supplier name against your quotation and contract. Confirm that the written specification matches the approved sample or drawing. Sending the enquiry form does not itself place an order.
