From Material Selection to Shipment: A B2B Sourcing Process

A custom tarpaulin order works best when the material, finished size and responsibilities are recorded at each stage. This process helps procurement teams turn an initial idea into a quotation they can evaluate.

1. Send the project brief

Describe the application, environment, finished dimensions, quantity and destination. Include units on all drawings and identify attachment points. If the material is uncertain, describe the use instead of guessing a GSM.

2. Review the proposed construction

Confirm the material, colour, thickness or weight, seams, reinforcement and hardware. Ask what evidence applies to the exact proposed material. Separate confirmed requirements from options still being discussed.

3. Approve the sample or drawing

Samples and sample shipping are free. Confirm the reference, availability and dispatch arrangements. Record the approved colour and construction; for a fitted cover, confirm the drawing revision, finished dimensions and tolerances.

4. Agree the written quotation

Check quantity, MOQ, currency, price unit, packing and delivery responsibilities. Orders use 30% advance payment with the remaining 70% payable before shipment. Confirm the available payment method and account details through your established business contact.

5. Confirm production and inspection

Agree the production schedule and inspection requirements before work starts. Any change to dimensions, material or finishing should be requested in writing and reviewed for feasibility, timing and cost. Quality issues are handled under the agreed contract.

6. Prepare shipment

Confirm packing, shipping marks, destination details and required documents. Separate production readiness from transport time. Review who handles freight, clearance, taxes and delivery to the final address.

7. Keep the order reference

Retain the approved specification, sample reference and quotation for receiving checks and repeat orders. Report concerns with the order reference, photos and affected quantity so the issue can be assessed against the contract.
